Job Description
What is the opportunity?
Provide timely, accurate and proactive administrative and operational support to the Global Equities unit finding innovative ways to create efficiencies and improve productivity. A successful Administrative Assistant possesses excellent organizational ability, attention to detail, high energy and flexibility in a fast-paced deadline driven environment. In this role, you will need to work well in a team environment, act with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with Sales, Trading and various levels of internal clients across the trading floor. You will maintain a high standard of customer/partner service quality by taking ownership and accountability, prioritizing incoming inquiries, issues, and highlighting key areas requiring immediate attention and action.
What will you do?
Submit Travel & Expense (T&E) reports for assigned staff, assist with expense pre-approval process and ensure all policies are followed and items are processed within provided guidelinesAct as a subject matter expert for the team, regarding T&E as well as other policies and proceduresCoordinate domestic and international travelManage phones and screen incoming calls and determine the level of priorityBook conference rooms and coordinate meetingsManage client contact information in RBC’s CRM (Contact Relationship Management system), assist with client research subscriptions, client conference registrations and meeting requestsAssist with technology & shipment requests and supply ordersAssist with staff on-boarding and off-boarding, which includes requesting equipment setup and system accessCreate and edit spreadsheets and presentations, including printing and binding, for internal and external meetingsHandle regular activities without prompting, and advise in advance of issues or delaysWork cooperatively with other client services team members in positive partnership to support and provide overall coverage and backup supportMaintain information flow to internal partners and remain up to date on divisional activities and business objectivesLead and coordinate ad hoc projects as requested
What you need to succeed?
3-5 years’ experience in an Office Admin capacity, supporting senior leadersStrong experience coordinating calendars, travel arrangements, monthly expensesStrong experience with Outlook, MS Office Suite, Concur and audio-video conferencing toolsAbility to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands, establishing priorities and meeting deadlinesExcellent interpersonal, communication (written and verbal) skills with the ability to work with all levels of management and staffAbility to take initiative, prioritize tasks, function independently, and work as part of a teamAbility to handle sensitive and confidential information with discretionSuperior attention to detail, calm under pressure, confidence

Pay Range
The expected pay range for this position is:
$55,000.00 - $90,000.00
